The main role purpose is to ensure the smooth day-to-day operation of the office. This role involves maintaining and monitoring office equipment and kitchenette appliances to ensure they remain in proper working condition. It includes overseeing storage management and maintaining an organized, efficient office environment. The position also requires acting as the primary point of contact with the landlord, contractors, and various service providers such as cleaning, vending, courier, and other office-related suppliers. Additionally, it involves identifying and reporting facility management issues, coordinating closely with building management and contractors to resolve them, and proactively seeking opportunities to improve overall office management processes.

What Will You Do?

Procurement & Supplier Management

  • Manage office supplies, inventory, and ordering (stationery, snacks, beverages, etc.)
  • Negotiate and manage supplier agreements and contracts
  • Monitor supplier performance and handle issues or disputes

Administrative Support & Coordination

  • Manage incoming and outgoing post
  • Provide administrative support, including reporting, invoice, and document management

Employee & Office Services

  • Support onboarding and offboarding (e.g., access cards, office tours)
  • Coordinate company car fleet for management
  • Oversee reception activities, including visitor access control and guest welcoming
  • Delivering end-to-end support to visitors throughout the duration of their visit

Events & Engagement

  • Organize company and team events (e.g., team buildings, SSC events)

EHS & Compliance

  • Act as EHS (Environment, Health & Safety) Management System Representative
  • Ensure compliance with internal policies and safety regulations
  • Report office-related issues and ensure proper follow-up

 

Your Experience Should Be...

  • At least 3 years of hands-on experience as an office manager
  • Excellent written and verbal communication skills – Hungarian & English
  • Strong organizational skills with demonstrated ability to prioritize and multi-task
  • Ability to work under pressure and a service-oriented mindset
  • Proficiency in MS Office
  • Knowledge of business and management principles
