We invite applications for the position of Technical Service Coordinator for our ESAB South Africa, a division of Howden Africa (Pty) Ltd based in Germiston. The Technical Service Coordinator will be responsible for coordinating the activities of the service department and ensuring efficient use of resources. Play an active role in delivering service excellence, enhancing customer satisfaction and providing consistent quality customer service. Ensure efficient order processing of parts/spares for service/warranties and repairs of equipment, and fulfilment thereof. This role involves interfacing with customers, managing their orders from point of receipt through to delivery, monitoring their future demand, delivering high levels of engagement, and managing all concerns to ensure development of effective corrective actions.

What Will You Do?

  • Provide smooth and efficient support to both external and internal customers.
  • Provide customers with friendly and professional communication during all inbound call transactions.
  • Allocate Technicians to jobs to efficiently utilise available time.
  • Ensure that all customer queries, complaints and feedback are effectively managed.
  • Handle all customer communication for the service department.
  • Act as a point of contact together with service technicians between the customer and ESAB for order processing, queries on stock availability/delivery time/ lead time and shipment.
  • Prepare service quotations. Generate and maintain customer pending orders. Follow up on service and purchase orders (Order Acknowledgement, track & trace all requested documentation, invoicing, customer backorders, etc.).
  • Ensure that all repairs have been invoiced by month-end following the correct procedure.
  • Participate in all EHS activities and programmes and ensure compliance with ISO 1400 and OHSAS 18001
  • Manage all transport complaints, returns, credit notes, and warranties.
  • Build relationships with Customers, Distributors, Sales Team, Service Team and Warehouses.
  • Submit technical and support documentation to customers (e.g. certificates, specification sheets, catalogues, sales literature etc., as required)
  • Notifying Accounts Departments when orders are completed and ready for invoicing.
  • Adhere to all SOX Compliance Controls with reference to the narratives applicable to your area of responsibility

Your Experience Should Be...

  • Matric (Grade 12)
  • Diploma/Certificate in Office Administration/Customer Service/Public Relations
  • 5 years of technical service administrative experience in similar and or technical orientated discipline
  • Team player with good interpersonal and communication skills
  • Must have a passion for customer service and operational excellence
  • Resourceful, self-motivated, committed, and strive to meet tight deadlines.
  • Ability to perform under pressure and adapt to a changing environment.
  • Computer Literate with intermediate knowledge of Microsoft Word, Excel, Syspro CRM and Projects
