Howden South Africa is looking for a Goods Receive Note (GRN) Clerk to ensure the efficient and accurate receipt, verification, and processing of incoming goods and materials paperwork. This role is critical in maintaining the integrity of the supply chain by coordinating with suppliers, internal departments, and resolve any issues related to shipments.

What Will You Do?

The main accountabilities of a GRN (Goods Received Note) Clerk focus on ensuring the accurate and efficient receipt, documentation, and processing of goods into an organization. Here’s a structured list of their key accountabilities:

  1. Accurate Receipt of Goods

Ensure all incoming goods match the purchase order (PO) in terms of quantity, quality, and specifications.

  1. GRN Documentation

Generate and maintain accurate Goods Received Notes for every delivery, Ensure GRNs are signed, dated, and filed correctly for audit and reference.

  1. System Updates

Enter GRN data into the inventory or ERP system promptly.

  1. Discrepancy Reporting

Identify and report any mismatches between delivered goods and purchase orders. Communicate with procurement or suppliers to resolve issues.

  1. Compliance and Record-Keeping

Maintain organized records of all GRNs and related documents, Ensure compliance with internal controls and audit requirements.

  1. Coordination and Communication

Work closely with procurement, warehouse, and finance teams. Ensure smooth handover of goods to the relevant departments.

  1. Support Stock Audits

Assist in periodic stock counts and audits. Provide documentation and clarification as needed.

Your Experience Should Be...

  • Matric
  • Certificate / Diploma in Logistics, Supply Chain Management, Procurement, or Warehouse Management is advantageous
  • 2+ years of experience in logistics, or supply chain management roles, preferably in a manufacturing, distribution,or engineering environment.
  • Understanding of supply chain principles, including procurement, inventory management, and logistics operations.
  • Familiarity with transportation modes, customs regulations, and warehouse management processes.
  • Awareness of import/export regulations, trade compliance requirements, and quality standards applicable to procurement and logistics activities
  • Detail-oriented and quality-focused, with a commitment to ensuring compliance and accuracy.
  • Proficient in using procurement software and other relevant tools
  • Knowledge of ERP Systems
  • Computer literacy essential
