Ensuring Chart’s Success…

Reports to Maintenance Supervisor.  The primary roles of the equipment maintenance planner are to improve work force productivity and work quality by eliminating in advance potential delays and obstacles to efficient work execution, providing coordinated availability of resources, and relieving the maintenance manager of staff activities which detract from his or her primary managerial duties.  Ensure that all machinery and equipment are scheduled for repairs, overhauls or preventive maintenance as required. Does not usurp the role or prerogatives of the maintenance supervisor.

What Your Day-to-Day Activities Will Be…

•    Is charged with supporting the execution of maintenance work (including overhauls) by receiving, planning, and estimating maintenance work orders, kitting parts to work orders for projects and PM’s  for each shift.  
•    This includes ensuring the coordinated availability of: facilities and equipment to be worked on, parts, materials, special tools and equipment, manpower and skills required to achieve orderly, timely and efficient work execution.  
•    Helps plan, estimate, schedule, and coordinate the work orders for overhauls and special projects.  Helps prepare for these special projects and overhauls as far in advance as possible in order to meet deadlines and target costs, without causing undue fluctuations in plant manpower requirements.
•    Sees that complete and accurate records are kept of all maintenance activity, including costs, statistics and equipment histories.  
•    Submits periodic reports on department performance and progress.  
•    Conducts special studies as requested by the maintenance supervisor and ensures that standards, controls, and procedures are followed.  
•    Setup and update all PM maintenance work orders for Tulsa facility.
•    Must have a good mechanical aptitude.  Must have computer skills relevant to successfully fulfill job duties.  (Excel, Word) Must know how to use IFS modules relevant to position.  (Purchase Order, Inventory, Work Orders, Equipment, Preventive Maintenance). 
•          Must be self-motivated and have a good work ethic.  Must be able to work independently and have good organizational skills.  Must have acceptable attendance record.
•        Computers, copiers, fax machines, label making machine, etc.  May be called upon to operate a forklift if qualified.
•        Normal problems encountered include the prioritizing of calls as they come in.  This is normally accomplished by breaking them down into Electrical or mechanical and then classifying them as breakdown, safety, operator induced, or fair wear & tear.  Other normal problems that can arise include prioritizing ordering parts, putting away parts & keeping the metrics up to date.
•        This position does not have close supervision.  The incumbent may make routine decisions such as categorizing call in work orders.  Deciding which maintenance tech to assign work to. Reordering parts that are stock items, etc.  Decisions regarding same day or next day parts ordering will be referred to the Supervisor most of the time.  Most decisions are made without consulting with the maintenance supervisor directly.  Incumbent is responsible to communicate those decisions to the maintenance supervisor within a reasonable time.
•    If errors were made, preventive maintenance on equipment would not be completed in a timely manner which could lead to equipment downtime.  Maintenance techs not being productive.  Parts not being ordered or put away causing lost productivity.
•    The incumbent determines the work is scheduled and assigns who is scheduled to do the tasks.  Knowing the talents of the technicians.   

Additional Day-to-Day Activities Will Be...

  • The equipment maintenance planner is responsible for, and has the authority to discharge the following duties:
  • The planner receives all work requests and is the principal contact person between the maintenance department and the plant departments served by maintenance. 
  • Screens each work request to see that it has been properly filled out, discusses the details with the originating department, ensures that the work scope is clearly described, properly authorized, and that the priority of completion date is realistic.
  • In the event that expert or specialized advice is required, such as from maintenance supervision, lead man, or manufacturing engineering, consults with them as required.
  • Plans all maintenance work orders received by breaking them into basic job steps, establishes the sequence relative to each job step, then determines what parts, materials, special tools, skills, manpower and time are required for each step, and in total.  Incorporates established safety practices and permit requirement into the formal job plans.  Obtains blueprints and drawings as needed.
  • Estimates the total cost of each work order in terms of direct labor and the pre-determined materials required.  For modifications work, prepares cost estimates prior to authorization.
  • Once a job is planned and estimated, and prior to scheduling, requests the availability of parts, materials and special tools required for its execution.  When parts and materials are not available will arrange for their procurement.
  • Prepares model (PMs) work orders in IFSÔ for jobs that are part of the preventive maintenance program.  Sees that all PM work orders and procedures based on preventive maintenance programs, are scheduled for execution and performed consistent with their established frequencies and due dates.

Your Education Should Be…

  • Associate degree or two years related experience and/or training; or equivalent combination of education and experience preferred

Your Physical Work Environment Will Require…

  • Exert up to 10 pounds of force constantly
  • Exert up to 30 pounds of force frequently
  • Exert up to 50 pounds of force occasionally

Your Professional Experience Should Be…

  • Maintenance or maintenance planning related experience preferred
  • Proficient in Excel and PowerPoint
  • Knowledge and functionality of computer maintenance system preferred
